Staff Guide: Module notes

Introduction

Module notes in MMS allow staff to enter notes about a student that are visible across tools and activities within a module.

  • Not visible to students by default
  • Can be requested by a student under a Freedom of Access (FAO) request

This guide will cover:

User Access

Module notes can be viewed, created, and edited by staff with specific roles (see Table 1).

Viewing Module notes

General Steps

  1. Log into MMS.
  2. From the Modules page or the Module Overview page, open the relevant tool.
  3. Locate the Module Notes column (or speech bubble icon) in the main table.

Tool-specific Locations

The tool specific locations of the module notes are:

  • Students tab: Notes appear in the Notes column of the Current Students table.
  • Coursework tool (Overview): Notes appear in the Module Notes column.
  • Coursework tool (Assignment Overview): Select the assignment title; notes appear in the Module Notes column.
  • Exam marking tool: Notes appear in the Module Notes column.
  • Final grade tool (Overview): Notes appear in the Module Notes column.
  • Final grade tool (Detailed Presentation): Select Show detailed presentation; notes appear in the Module Notes column.
  • Attendance tool (Overview): Select the speech bubble icon in the Notes column.
  • Attendance tool (Session Overview): Select the session name/date; then select the speech bubble icon in the Notes column.
  • Postgraduate Administration tool (Annual Progress Reports): Notes appear in the Module Notes column.
  • User overview (all notes for a student): Search by username or matric number → Student Roles tab → Notes column.

Viewing Module note details

To see who created a note and when:

  1. Go to any location where module notes are displayed.
  2. Select [Add/Edit Notes].
  3. In Existing Notes, view the Date column (created date/time) and Written by column (staff member).

Creating a Module notes

  1. Go to any location where module notes are displayed.
  2. Select [Add/Edit Notes].
  3. In Add New Note on Student, enter your note text.
  4. Select Add New Note to save.

Deleting a Module note

  1. Go to any location where module notes are displayed.
  2. Select [Add/Edit Notes].
  3. In Existing Notes, tick the checkbox in the Delete? column for the note.
  4. Select Delete Selected Notes.
